We will be selecting the committee to run our community. We are moving forward and evolving the committee structure. Please use the form on this page to put yourself forward for a committee role or register for volunteering at events.
The commitment
Most roles require only a few hours of your time each month in the lead up to, and straight after events. There is more to do in the weeks prior to an event, so a bit more time is needed then.
Committee meetings are usually scheduled for weekday evenings 19:30-21:00 with face-to-face meetings usually taking place in the north-west London area.
The committee is elected for a 3-year term.

The committee will be made up of:
President and Assistant President
Secretary and Assistant Secretary
Treasurer and Assistant Treasurer
Three Advisors
Four Events and Social Team
Three General Assistants
In addition to the above, we’re looking for people to help ad-hoc for various events and initiatives.
We need a diverse set of skills and representation across our community to help and get involved.

Take appropriate action to uphold and promote the aims, objectives and interests of SGLPC (UK) and its members.
Be accountable for the overall coordination, planning and instigation of all meetings, events and activities of the organisation and shall lead by example.
Preside and chair all the meetings of SGLPC (UK).
In the event of a split vote, have the casting vote.
Be one of the signatories for signing off the minutes and the annual accounts of SGLPC (UK) once approved by the general membership at the AGM.
When invited to do so (and with the consultation and agreement of the Main Committee), attend and represent SGLPC (UK) at any event or meeting held by other organisation(s).
Not have the power to unilaterally commit SGLPC (UK) to any financial or other obligation.

The Vice President shall assist the President in carrying out the duties listed above.
In the event that the President is unable to fulfil their functions owing to absence, illness or any other cause, the Vice President shall assume the role of President and carry out the duties of the post of President until the President resumes their duties.
In the event of the absence of both the President and the Vice President, the remaining members of the committee shall appoint a committee member to serve as temporary acting President.

Collate, distribute and respond to all correspondence in consultation with and under the direction of the Main Committee.
Record the minutes at meetings and submit such minutes for approval at the next ensuing meeting.
Be the second signatory for signing off the minutes, once approved by the general membership at the AGM.
Maintain a record of all assets and their location(s) within the community.

The Assistant Secretary shall assist the Secretary in carrying out their duties.
In the event that the Secretary is unable to fulfil their functions owing to absence, illness or any other cause, the Assistant Secretary shall assume the role of Secretary and carry out the duties of the post of Secretary until the Secretary resumes their duties.
In the event of the absence of both the Secretary and the Assistant Secretary, the remaining members of the committee shall appoint a committee member to serve as temporary acting Secretary.

Responsible for maintaining the records of the income and expenditure of the organisation; collect current & outstanding membership fees, donations and other funds.
Issuing formal letters to collect outstanding membership fees.
Prepare the annual accounts to present to the Main Committee at the annual closing meeting (usually held a fortnight prior to the AGM) for scrutiny and approval prior to adoption/approval at the AGM.
Be the second signatory for signing off the annual accounts (and any other sub-committee accounts), once approved by the general membership at the AGM.
Arrange insurances for events and as necessary for any other meetings and functions etc and discharge payments accordingly.
Be responsible for collating and maintaining the members’ database; the Treasurer can (with the approval of the Main Committee) appoint a co-opted member (not necessarily from the Main Committee) to assist him in this duty.

The Assistant Treasurer shall assist the Treasurer in carrying out their duties.
In the event that the Treasurer is unable to fulfil their functions owing to absence, illness or any other cause, the Assistant Treasurer shall assume the role of Treasurer and carry out the duties of the post of Treasurer until the Treasurer resumes their duties.
In the event of the absence of both the Treasurer and the Assistant Treasurer, the remaining members of the committee shall appoint a committee member to serve as temporary acting Treasurer.

Assist the Committee in the execution of their duties.
Keep a check on the fairness and balance of the decision making process to ensure that the aims and objectives of SGLPC (UK) are properly carried out.
Bring any failings or shortcomings of the Main Committee to the forefront.
Jointly help ensure that the funds and assets of SGLPC (UK) are adequately managed, administered and utilised.
Call an Extraordinary General Meeting (EGM) if they are dissatisfied with the workings of SGLPC (UK). The advisors shall make appropriate representation to the general members at this meeting to ensure that the relevant issues are adequately discussed, debated and resolved by the general membership.
Undertake any duties / tasks reasonably allocated or delegated to them by consensus and approval of the Main Committee.

In consultation with and the approval of the Main Committee, arrange the hiring/bookings of venues for forthcoming events (the principal events being the Annual General Function and the Diwali Function);
Covers all aspects of the event - including but not limited to activities, games, food, prizes, raffle, H&S of events,
Co-ordinate the design and distribution of invites

Volunteers who assist the Events team and committee as required.
Mainly called upon when planning and running events
* The key posts of President, Secretary and Treasurer are vital posts in the organisation, requiring good managerial, organisational and communication skills. A heavy responsibility rests on these three committee members to organise, promote and drive the organisation forward. To avoid confusion and lack of direction in the first few months in the life of a new committee, and in the interest of smooth transition from the outgoing committee to the new committee, it is preferable that these key posts be elected from members who have in the past served on the Committee in some capacity (not necessarily in any of these key posts).
